RentGhost help guide
Welcome! This guide walks you through a landlord's whole month. Most people are fully set up in about 10 minutes.
1. Set up your account (once)
- Settings → Business: enter your business name, phone and address. They are printed on every bill and receipt. Choose your currency (USD by default) and language.
- Settings → Rent & bills: choose the day bills are created (usually the 1st) and the default due day (e.g. the 5th). Add payment instructions such as your bank account — tenants see them on every bill.
- Settings → Reminders: decide how many days before the due date tenants are reminded, and how often overdue reminders repeat.
2. Add your properties and units
- Go to Properties → Add property and enter the building name and address.
- Open the property and click Add many units to create a whole building at once (for example floors 1–6, 2 flats per floor → 1A, 1B, 2A…). Or add units one by one with Add unit.
- Set each unit's rent, service charge and security deposit. You can upload photos and documents on every property and unit page.
3. Add tenants and move them in
- Tenants → Add tenant: name, phone, email, ID number and an emergency contact.
- Leases → Move in tenant: pick a vacant unit and the tenant, set the start date, rent, deposit and due day.
- Add fixed monthly charges (gas, water, parking…) — they are added to every bill automatically.
- Leave “Create this month's rent bill now” ticked to bill the first month straight away.
4. Your monthly routine
| When | What to do | Where |
|---|---|---|
| 1st of the month | Bills are created automatically | Rent bills |
| When meter readings arrive | Enter electricity, gas and water for all units | Utility bills |
| When a tenant pays | Click Pay or open the bill → Record payment | Rent bills |
| After the due date | Send reminders by email, SMS or WhatsApp | Rent bills → Overdue |
| Month end | Check collected vs expected and print owner statements | Reports |
Tip: each bill has a private link. Send it to your tenant — they can see the bill and receipts without logging in, and pay online if you connected a gateway.
5. Recording payments
- Open a bill and use Record payment. Partial payments are fine — the bill shows Partial until it is fully paid.
- Every payment gets a receipt number and a printable receipt (Print / Save PDF).
- Made a mistake? Owners and managers can delete a payment; the balance goes back up.
6. Discounts, extra charges and late fees
- On any bill, add a Discount (reduces the total), an Adjustment (can be negative, e.g. -50) or an extra charge.
- Turn on automatic late fees in Settings → Rent & bills.
- For charges outside the monthly bill (repairs, advance rent) use Rent bills → One-off bill.
7. When a tenant leaves
Open the lease → Move out. Enter the date, final meter readings and how much of the deposit was deducted or refunded. The unit becomes vacant (or Maintenance) and old dues stay on record.
8. Team members
Team → Invite your manager or caretaker. Caretakers can record payments, utilities and expenses but cannot see reports, delete records or change settings.
9. Online rent payments (optional)
In Settings → Online payments, connect your own Stripe account (cards, USD) or EPS account (bKash, Nagad, cards in BDT). Money goes straight to your account.
10. Subscription
You start with a free trial. Go to Subscription to choose a plan and pay by card (USD) or in BDT. Your data is never deleted if a trial ends.
